And with HCL reaffirming their investment into continual improvement and the incorporation of associated low code and digital transformation functionality, it remains a platform built not just for now, but for the future.</p><p>Previously, Intec have recruited experienced developers to meet growing customer demand, but the excellent reputation and career prospects of working with the platform are such that we chose to widen our search to include the Graduate sector. Intec has developed an exceptional reputation with its customers and business partners over many years and plans to build upon that success in the future.</p><p>The decision to become an employee owned business was driven by the desire to sustain the company’s independence and recognition of the fact that Intec was built upon the hard work and commitment of its employees.</p><p>Stephen Joseph said “By widening ownership of the business to its employees Intec is securing the future of the business, including its ethos, values and culture. Tim and I also strongly believe the people best able to run – and indeed own – the business, are those who work in it”.</p><p>Technical Director Duncan Cooper and long-term employee Mandy Pawley join the company board. They will work with the newly appointed Trustees to ensure Intec grows and develops for the benefit of all employees. Both Stephen and Tim remain committed to the company and will stay in their existing roles, and the current management team of Stephen, Tim, Mandy and Duncan continues.</p><p>Duncan added: “Intec has always been a dynamic business, ready to embrace change – it’s one of the reasons I joined over 25 years ago – it’s part of our DNA and one of the biggest contributors to our success over the years. Now is the time for the next stage of Intec’s journey.</p><p>An Employee Ownership Trust enables a company to be acquired by a Trust which exists for the benefit of all the company employees, who will then indirectly own the business. This Trust is set up by the existing owners of Intec and becomes the new majority owner (80%), as part of a longer term succession planning strategy for the existing owners, who will retain a minority stake (20%) in the company. EOTs were established in the Finance Act 2014 to encourage companies to become employee owned. An approvers name is selected via a button. The selected approvers name was initially showing the Canonical Notes name as expected. Upon a refresh of the uidoc however, the name automatically changed to the forwarding address in the NAB. The good news is that the notification arrived at the migrated mail box as expected. The bad news is the user can do nothing when the link is clicked.</p><p>Upon investigation I noticed that the approvers field updates the Authors field and is used in a Hide formula for the workflow buttons. This resulted in the approver not actually have access to the document as well as no visibility of the workflow actions. It was not looking for a file.</p><p>After the usual immediate investigation and resolution ideas, deletion of caches etc. The issue remained albeit with a slightly different message.</p><p><img loading="lazy" decoding="async" class="alignnone size-full wp-image-11021" src="https://www.intec.co.uk/wp-content/uploads/2021/02/error2.jpg" alt="" width="190" height="99" /></p><p>My next move was to check access to the profile document, although why access would suddenly stop was a worry. So I gave full admin database access to the user and on the user’s machine I elected to edit the database profile document.</p><p>At this point I was met with the following error ….</p><p><img loading="lazy" decoding="async" class="alignnone size-medium wp-image-11022" src="https://www.intec.co.uk/wp-content/uploads/2021/02/error-3-300x115.jpg" alt="" width="300" height="115" srcset="https://www.intec.co.uk/wp-content/uploads/2021/02/error-3-300x115.jpg 300w, https://www.intec.co.uk/wp-content/uploads/2021/02/error-3.jpg 479w" sizes="(max-width: 300px) 100vw, 300px" /></p><p>I now had an actual file name that could not be found!</p><p>I could not repeat the issue on my machine, no other users were reporting an issue with the form in the database. I logged onto my machine as the user and could not repeat the issue either. This told me it was a local issue.</p><p>However, I had no idea what was trying to be written/read at this temporary address.</p><p>In all my many years as a Notes/Domino consultant I had never seen such a thing. I mean I knew opening a Microsoft document from an attachment opened it up in a temporary location but as far as I knew anything read via lotusscript in a database went into memory.</p><p>During a team meeting my colleague Simon Lapraik pointed out that the client does indeed create temporary files in the form of IDBnnnnn.DTF. Domino Temporary File.</p><p><strong><em>What is a DTF file?</em></strong></p><p><em>DTF filenames begin with “IDB” or “S0 to S9” and are followed by a unique five-digit number. </em></p><p><em>For example, s054321.dtf and idb54321.dtf are valid DTF filenames.</em></p><p><em>Domino temporary files are stored in a temporary directory defined by a system environment variable, If a directory is not specified, </em></p><p><em>the files are placed in the working directory and are not automatically deleted.</em></p><p>The immediate thought was an access issue to the temp file location but upon further investigation this was not a problem.</p><p>There was however a lot of old “rubbish” in the folder.</p><p>I decided to rename the folder and delete the cache at which point a new folder was created and everything worked fine again.</p><p>So, after many years of using notes from version 3!! Unfortunately I have not yet received any information on the underlying cause and any fix.</p> <p>However, HCL have suggested a possible work-around which is the <a href="https://help.hcltechsw.com/domino/11.0.0/admn_running_the_database_maintenance_tool_from_a_program_document_t.html?hl=nondiscardable%2Cviews" target="_blank" rel="noreferrer noopener">DBMT “nondiscardable view”</a> functionality. This involves:</p> <p>a. Getting the “Inherit design from…” value of the affected application databases properties, e.g. AppBaseTemplate</p> <p>b. Add each application template name to the DBMT_MailTemplate notes.ini setting, e.g.</p> <p>DBMT_MailTemplate=AppBaseTemplate,App2BaseTemplate,App3BaseTemplate</p> <p>c. Add a notes.ini setting for each template listing the views that are nondiscardable, e.g.</p> <p>DBMT_AppBaseTemplate=viewNameOrAlias1;viewNameOrAlias2;viewNameorAlias3<br>DBMT_App2BaseTemplate=viewNameOrAlias1;viewNameOrAlias2;viewNameorAlias3<br>DBMT_App3BaseTemplate=viewNameOrAlias1;viewNameOrAlias2;viewNameorAlias3</p> <p>4. This is resulting in slow application database performance (and of course user complaints!).</p> <p><strong>Background</strong></p> <p>Some of our application databases have a “View Update” agent in them that run every night. These agents open and refresh all views that users depend on for application functionality, and are used to avoid the risk of view indexes being discarded due to lack of use (some application databases are very large – in size and number of documents – and so any view build/rebuild can take a long time and impact users).</p> <p>One of the hosting servers was recently upgraded from Domino 9.0.1FPx to Domino 11.0.1 FP1. After the upgrade we started getting complaints from users that now applications were often very slow to access.</p> <p>Thankfully, one of the notes.ini settings I apply to servers is “Log_View_Events=1” which allowed me to see that Domino was reporting messages like the following at the time when the databases were slow to access.</p> <pre class="wp-block-preformatted">Informational, rebuilding view - no container or index (reading view note Title:'|')</pre> <p>However, the views should not need to be rebuilt… this is one of the reasons for the “View Update” agents.</p> <p>I raised a ticket with HCL, and initially was advised to set the notes.ini setting “Debug_NIF_Update=1”. This provided a lot more information about when views were being accessed, by who, and whether the view indexes were being refreshed or rebuilt, but did not answer the crucial question… “Why is Domino needing to rebuild these view indexes when they were accessed/refreshed the day before?”</p> <p>I was then advised to set the notes.ini setting “DEBUG_DISCARD_VIEW_OVERRIDE=1” which would apparently print a message to the console when a view index was being discarded.</p> <p>On the first evening, after applying the debug setting, Domino occasionally reported “discarding view” in the log.</p> <p>After a number of days, I could see that some days would be fine, whilst other days we would see multiple view indexes getting discarded when the “View Update” agent was running.</p> <p>Interestingly, the discarding appeared to be happening shortly after the view open/refresh done by the agent, i.e. we would see the following sequence in the console log.</p> <pre class="wp-block-preformatted">Agent logging to report "<View>" was being refreshedDomino logging to report the start of refresh for "<View>"Domino logging to report the finish of update for "<View>"Domino debug logging to report "discarding view "<View>"</pre> <p>I have now received an update from HCL confirming that there is an issue.
