The replacement of recruiters and the recruitment process by technology!I have heard from some clients as well as recruiters that some feel our days are numbered, as technology, for example on-line job portals / boards, both general and in-house developed will soon replace us.These are my thoughts and findings on this issue: Technology is fantastic! A great resource for Recruiters and should be embraced with open arms.<br />

Many recruiters are afraid of technology, they would still prefer to work with flip cards and say that anyone using technology is not a &#8220;Real Recruiter&#8221;!My experience is: ignore technology and &#8220;Real Recruiter&#8221; or not your business is doomed, it will not progress far into the future as a viable entity. You will be replaced.Technology is not a replacement for recruiters but a powerful tool to assist us, make us more productive, give us more reach, make us more competitive. We should (in fact must) welcome it as many other industries and professions do. How many accounting packages are out their that could and in many cases do &#8220;replace&#8221; accountants in certain aspects, yet the demand for accountants is still high.Why are we so insecure about our industry!I am aware that recruiters and the recruiting industry has taken a battering over a long period but one thing we can not doubt is that we are necessary, in fact essential! We too are always in demand &#8211; even if some folk like to tell us otherwise.I have had clients try their own portal / on-line database, only to realise how difficult the recruitment function actually is, mainly their own portals only bring about more work and less recruitment success, as they get piles of responses, many whom they can never use, but they still need to manage.<br />

They generally come back for assistance, even if it is with their own portal as an additional tool.Recruiters should be getting in first, start using the excellent technology available, become recruitment technology experts and then use this knowledge to your advantage, sell your knowledge of recruitment technology tools to your clients, make it an added benefit to your clients.If clients want to use technology in recruiting we should encourage it and be involved in the process of decision making and choices as to which technology is most suitable. Introduce them to technologies using your expertise. This may seem like a bad business approach to those who feel they are in danger of losing their jobs to technology, but if you explain and demonstrate to your clients how a combination of the right technology along with a knowledgeable recruiting professional will produce the most desired results, then you maintain control, you lead the process, you are able to make yourself an indispensable part of the recruitment process.This is better then trying to persuade them not to use recruitment technology or just waiting for your business with them to possibly shrink as they find appropriate technology themselves or find a recruiting professional who is willing to guide them in this process.Developments in recruitment technology are inevitable and in fact very necessary to ensure our industry, as well as the market in general, thrives. We can not have archaic recruitment processes trying to keep up with modern market human resource demands.So, lets encourage more development by researching and using the tools and technology available to us, only by using the technology do we make it viable for the developers of these tools to continue enhancing and fine tuning to suit our requirements and needs. After all we are the recruiting experts and should therefore be the main contributor to how these systems operate.Technology will no more replace us then it will any other profession &#8211; unless we force it to! </p>

  181. Baseline.com examined the issue in a story called “Top Challenges Facing Project Managers.” It raised a variety of issues that project managers feel challenged by.<br />
  182. “So what factors contribute to these issues? The top culprit appears to be giving project teams work that has nothing to do with the project itself, according to a recent survey from Janco Associates,” said author Dennis McCafferty.<br />
  183. According to McCafferty, 180 project managers with at least one year’s experience took part in the Janco survey. ” …. there are an assortment of unrealistic expectations, time pressures, staffing shortfalls and inadequate tech resources, findings reveal. Clearly, IT projects need leadership that combines technology savvy with effective business-focused oversight to successfully navigate these hurdles,” he said.<br />
  184. A top challenge for project managers is budget issues. (After all, what manager wishes he or she wasn’t constrained by corporate finances?) There’s also the issue of administrative overhead, too.<br />
  185. The survey equates being overworked with toiling in a sweatshop. That’s a little extreme when one thinks of children working in clothing factories in Bangladesh. That kind of dramatic thinking could also explain why 51 percent of the project managers also feel understaffed. Here’s a tip. Don’t use words like “sweatshop” and you might get a more sympathetic hearing for more staff.<br />
  186. This statement also isn’t helping their cause: “47% of the project managers think they deal with too many fluctuations in tech specifications.” Flexibility is one of the keys of being a good project manager. Some 42 percent of the project managers also say change requests come in too fast.<br />
  187. James Bentham makes that point at Business2Community.com. He says, “Ask any experienced project manager and the first thing he will tell you is to plan for things to go wrong. Fluctuations, errors, bad planning judgment and incorrect assumptions about what is needed all come to play when the implementation process occurs.”<br />
  188. Bentham also says, “If the planning and budgeting phases did not account for contingencies or additional, unplanned needs, a project manager will then have to find other efficiencies in the project to make up the difference. This is where a good, seasoned manager becomes apparent because he will see the problem, adjust for it, and keep the project moving to completion.”<br />
  189. This next complaint sounds like a communications problem. (Then again most of these issues sound like communication problems.) About 40 percent of project managers say the lack of agreed-upon deadlines is a constant problem.<br />
  190. There are basically two types of projects: those done in partnership and those done for upper management. Partnerships should have agreed upon deadlines or it’s not a partnership. Nothing can be done when upper management changes deadlines. That’s just a fact of corporate life.<br />
  191. Slightly more than one in five project managers struggles with outdated technology. That circles back to the issue of budget in some cases. But it also goes full circle back to communications. Failing to express concerns about outdated technology and making a case for its replacement falls on the project manager.<br />
  192. Finally, somewhat surprisingly only one in 10 project managers feel hampered by staff turnover. That’s one benefit of ongoing slow expansion of business. There are less opportunities for staff, even highly trained IT staff, to move onwards and upwards to new employers.<br />
  193. As discussed in an earlier blog post, “5 Good Tips for New Project Managers,” listening to your team might reduce turnover. “Genuine listening has become a rare gift—the gift of time. It helps build relationships, solve problems, ensure understanding, resolve conflicts, and improve accuracy. At work, effective listening means fewer errors and less wasted time,” the article says.</p>

  209. <p>Just a quick explanation. ITTO stands for Input, Tools and Techniques, and Output. PMExamLessonsLearned.com says, “There are around 650 PMP ITTO … in the PMBOK (Project Management Body of Knowledge) Guide. The thought of having to remember them may deter many PMP® aspirants.”</p>
  210. <p>The site says there are two schools of thought to consider. It first addresses the memorization side. “For the study of lessons learned of 100 recent PMP who have successfully passed the PMP exam, some of them DO advice aspirants PMPs to memorize all the ITTOs in order to be best preferred for the PMP® exam. A few of them even claimed that they have memorized all the ITTOs.</p>
  211. <p>“Some made flashcards for all ITTOs so that they can bring it anywhere and study the ITTOs when time available. Another PMP recorded all the ITTOs on a mp3 and brought it wherever he went and listened to it over 2 hours each day in order to memorized the ITTOs,” according to PMExamLessonsLearned.com.</p>
  212. <p>It then offers this contrast (just to really confuse you). “Yet, much more successful PMP® exam takers do not advise memorizing the ITTOs. They could pass the PMP® exam confidently without memorizing the ITTOs.</p>
  213. <p>“Instead they focus on understanding what the inputs, tools and technique and outputs are and how they are related to each other and the project management processes. One suggests ‘focusing on why rather than what’ which helped him to help understanding the ITTOs for the PMP exam,” the site says.</p>
  214. <p>The blog post adds the perspective of a candidate who passed the PMP test in November 2013. He says, “I did not even think of memorizing the ITTOs during my 2-month study period. I have memorized all the processes and process groups but not the individual ITTOs. I just try hard to understand the major ITTOs for each process, I keep asking myself: why they are here, what they are and what they do. With these 3 questions, you will be able to mentally glue the major and crucial ITTOs to the processes.”</p>
  215. <p>Praveen Malik, PMP, addresses the issue at his PMbyPM blog (Project Management by Praveen Malik – it took me a minute to figure it out). He writes, “You would be amazed to find many recent PMPs downplaying the importance of ITTOs. PMP Exam is mainly contains knowledge based situational questions. There are only a few direct questions. In fact, ITTO questions also come in garb of situational question. In my experience, ITTO memorization and mugging-up does not help. It only increases the anxiety.“</p>
  216. <p>Malik posts a sample question and then shows how memorizing ITTO wouldn’t help. You are a project manager of a large project and you are identifying some alternative techniques to generate different approaches to execute and perform the work of a project. You are doing it as a part of:</p>
  217. <p>A.Collect Requirements<br />
  218. B.Control Scope<br />
  219. C.Validate Scope<br />
  220. D.Define Scope<br />
  221. This is a typical ITTO question coming in garb of a situational question. This question is not straightforward. You will be able to answer the question correctly if you have understood ITTO well. Pure mugging up of ITTOs will not help.</p>
  222. <p>The answer to the question is within the question itself. The question says “…some alternative techniques to generate…”. If we understand and translate, the question is asking about “Alternative Generation” which is part of “Define Scope” process. Hence the answer to this question is D.</p>
  223. <p>So, it appears the best answer would be to skip the rote memorization. Take your time to learn the principles of ITTO and you will be better off.</p>

During training and in the real world, a significant amount of emphasis is placed on adequate planning prior to project engagement. From preplanning to forecasting, team formation layout, to duty and responsibility charting and more, planning is found in every single aspect of project management. However, there’s a chance that your detailed planning is actually harming your project. Going too in-depth with your plans can be a very bad thing. What should you know?<br />
  239. Realize Super-Accurate Estimates Are Inaccurate<br />
  240. In every project, you have to estimate the total cost of the project, including labor, materials and more. This is offset against the value of the project’s deliverables, and any additional value that your project offers the organization. The result after the offset is the actual value of your venture. It can be tempting to estimate your project’s cost down to the penny. Don’t do it. You’ll spend an immense amount of time arriving at that super-accurate estimate, only to find that as time goes on, your costs escalate beyond that point. There’s no way to predict the future, and while an estimated guess can be an excellent way to get close to your total project cost, attempting to be 100% accurate is nothing more than a waste of energy that could be better spent on something else.<br />
  241. Another problem with super-accurate estimates (whether in terms of money or time) is that you’ll have to communicate that information to your stakeholders. Once they have this figure, to them it’s almost set in stone. What happens when you have to explain that this figure is no longer valid? What happens when your expected control doesn’t materialize and you’re over or under on the budget? What will you do when you have to request more time for project completion because of unexpected delays and other hurdles?<br />
  242. The Right Path Forward<br />
  243. Rather than being super-accurate and suffering the inevitable problems that come from your inability to read the future, be pragmatic and estimate what’s necessary. Explain to stakeholders and managers that there’s no such thing as 100% accuracy during planning, but more than this, you must believe it yourself. For many, that will be easy enough to achieve, but for those who get hung up on the smallest of details and have to have the road forward mapped out completely, it can be tough to do.<br />
  244. Set realistic expectations for your project, and above all, plan for the unexpected. Plan to be surprised. Plan for emergencies. Plan for problems to crop up in almost any area and remain flexible. Perhaps the most damaging thing that occurs with super-detailed planning, beyond giving your stakeholders false expectations, is that you limit your options when something unplanned occurs. A rigid approach is a certain way to doom a project. Good project managers should remain flexible throughout the entire project, from preplanning to project wrap up. It’s the only way to ensure that you can get over those hurdles.</p>

While that’s good news for profitability and growth, it presents some unique challenges to project managers. Global project teams are much more difficult to manage than those working in the same geographic location and PMs need to know some specific tips in order to ensure that they can successfully manage these teams. Here are a few important items to consider if you’ll be managing a global team.<br />
  260. Time Considerations<br />
  261. One of the most important tips for project managers leading an international team is the number of time differences involved. When dealing with a local team, this isn’t an issue, but it’s a very real hurdle when your team spans several different continents. You will need to determine when the best time is for team collaboration, virtual meetings and more. In addition, you’ll need to consider different cultural attitudes toward meetings. Some cultures don’t place much importance on punctuality and attendance.<br />
  262. Intercultural Learning<br />
  263. As hinted at in the section above, you’ll face challenges due to cultural differences. Make sure that you’re able to learn about the various cultural backgrounds of your team members. Not only do you need to know how those differences will affect your project, but also you need to learn about those cultures so that you can be respectful of them and their differences to your own. Cultural differences aren’t bad things – they’re just dissimilar to what you know.<br />
  264. Building Your Team<br />
  265. Working on an international project requires that you take considerable thought in terms of building your team. What skills do you need your team members to possess? How much formal education is necessary? What candidates are available to you, and what locations/nationalities are represented? Who will have the least disruption in your team? What skills and knowledge are necessary for other team members to have creditability in the eyes of a particular culture? These are essential questions to answer long before you start down the road to project planning.<br />
  266. Introducing a Team Member<br />
  267. When you bring a new team member onboard from a different cultural background, you need to take some specific steps. First, you need to address any questions or concerns they may have about the cultural differences. These can include things like basic communications and team member interaction, as well as others like specific customs, holy days and more.<br />
  268. You should also take the time to fully explain the project and the project’s purpose to the team member. This not only helps them bond with the project’s goals, but it can answer many of the questions above as well. Finally, make sure you’re clear on what matters most to you as the project manager (communication, work ethic, integrity, etc.).<br />
  269. Managing a global team can certainly be a challenge, but if you follow the tips listed above, you’ll have a far easier time. Be respectful of different cultures, communicate clearly and always work toward the entire team’s benefit.</p>
